DONOR AND STAKEHOLDER RELATIONS COORDINATOR JOB DESCRIPTION

This role is about building relationships and supporting our operations. You’ll be reaching out and responding to individual donors—both verbally and in written form— making sure that they’re served exceptionally well and feel more connected to Sanctuary because of your communication.  You’ll also be engaging with our wider community, including our neighbours, partner organizations and businesses, etc.

While we prefer to think of our donors and prayer supporters as friends and partners, you’ll achieve success in your role through well-honed customer service skills, and a warm, polished communication style. You’ll also be managing databases, financial information, and finding new efficiencies to help Sanctuary run more smoothly. A strong knowledge of Microsoft Excel for in-depth data analysis, attention to detail, and consistent follow-through will serve you well.

SPECIFICALLY YOU WILL:

  • Oversee and be involved in the prompt and regular acknowledgment of donations

  • Oversee and be involved in the timely distribution of annual tax receipts

  • Manage our relationship with the communications team, who prepares newsletters and other communication tools for our donors and other supporters

  • Provide administrative support and advice to other members of the Donor Relations team about their meetings with donors

  • Take a lead role in working with other staff and community members to plan, organize and execute key community events throughout the year

  • Seek out and apply for suitable financial grants, providing grant reporting as required

  • Seek out and design opportunities to engage with and foster relationships with our neighbours (businesses, churches, condo buildings, etc.) and broader community stakeholders 

  • Be an active participant in creating and understanding Sanctuary’s annual budget

  • Actively participate in other aspects of our community, including community drop-ins, community care, walking outreach, Sunday services, etc.

ADDITIONAL EXPECTATIONS FROM ALL STAFF MEMBERS:

  • Involvement in fundraising and investment in self-care practices (e.g. trauma-informed therapy)

  • Provide both personal and pastoral/spiritual support for community members, including prayer and Bible study (where appropriate)

  • Participation in weekly all-staff meetings and two annual staff retreats (typically offsite)

  • Participating in training on anti-racism, anti-oppressive practices, and non-violent de-escalation required

  • Participation in training for overdose prevention and response and first aid required

QUALIFICATIONS FOR THE ROLE

THESE ARE OUR “MUST HAVES”

  • Experience in a customer service role

  • Proven administrative and writing skills

  • Experience using Microsoft Excel to analyze data and create documentation

AND THESE ARE OUR “NICE TO HAVES”

  • Experience in donor relations and/or development role

  • Experience in event planning, organization and execution

  • Experience working with financial statements and budgets

  • Experience working with marginalized men and women

  5. You are flexible.  Schedules around here are written in pencil, and you’ll probably be asked to do things you’ve never done before.  You can change plans when the need arises.

  6. You engage intentionally with self-care. This is a community that puts you at risk for trauma, compassion fatigue, burnout, and compound grief. It’s essential that you are someone who regularly accesses a personal support network and strives to maintain health through activities and resources that ground and inspire you.

HOURS AND COMPENSATION

  • Full-time, permanent

  • Flexible hours, with 2-4 evenings/wk and 1 weekend/month

  • Competitive salary $52,800, plus you may be eligible for additional financial dependant benefits

  • Generous benefits package(both financial and other benefits), including LTD coverage 

  • 4 weeks of paid vacation per year

INTERVIEW PROCESS

After the initial online application process, the interview process at Sanctuary involves several steps. While we acknowledge that the process is fairly lengthy and involved, we believe it is an important process.

  1. Those candidates for whom an interview is desired will be contacted by Tuesday February 28, 2023, so that an interview time can be set within the following week 

  2. Interviews will be conducted with a hiring team the week of March 3-10.

  3. After the interview, short-listed candidates will be asked to attend at least one Sanctuary worship service (Sunday afternoons between 5:00 and approximately 7:15) and a Sanctuary drop-in for a minimum of one hour. The drop-in times are Tuesday between 10:30 am – 3:00 pm and Thursday between 4:30 pm – 9:00 pm. Prior to attending the drop-in, the candidate should contact the team to ensure arrangements can be made to provide an orientation to the drop-in setting at Sanctuary. No such arrangements need to be made for the worship service. These experiences may provide an opportunity for the candidate to talk with some of our team and will offer them a valuable opportunity to get a first-hand sense of the Sanctuary community.

  4. After the interview and visits are completed, a successful candidate will be selected and your references will be contacted. 

  5. Subject to the mutual agreement of yourself and the team, you will be asked to join us.  

  6. The target start date is mid-April 2023.
